RESERVATIONS & PROCEDURES GROUPS
Any pre-designed itinerary that is considered a group departure should be booked in advance. This should state the minimum and maximum size of the group, the precise departure date, as well as preferred air carrier so that air schedules can be reconfirmed, for both international and internal flights. This is necessary especially for peak months between May & September and December & February.
FIT ARRANGEMENTS
We can tailor-make itineraries on a FIT basis, in which case we need to know the size of individual participation as well as the itinerary and services required. Often group members decide to add optional programs not included in the group itinerary. Once you have informed us about these optional pre or post-tours, we will make sure that they are coordinated with the group itinerary.
PRICING
All new requests for services, whether for group itineraries or Fit's will receive a quote by fax or e-mail, stating exactly what services are inclusive or not. All the prices quoted in our manual are kept for a calendar year and will be readjusted yearly according to a change in service costs, additions and/or modifications to itineraries and any other factor that may affect the costs of the tour. Because Eco-Andes owns part of the infrastructure used in our tours, we can maintain very competitive prices.
RESERVATIONS
Once we receive confirmation, we will give you a status report upon your request. In the case of groups, we require a preliminary rooming list 30 days prior to arrival.
RECONFIRMATION
15 days prior to group or FIT arrival date, we need the final rooming list in order to reconfirm the accommodation and seats on local/international flights. This final list must include the following data: number of double and single rooms, name of passengers, passport number, and nationality, date of birth, occupation as well as any special meal requirements.
With all groups on arrival, Andes Adventures will collect their airline tickets to reconfirm their ongoing national or international flights.
OPERATIONS
As soon as the group or FIT arrives, EcoAndes Travel - Andes Adventures will provide the Tour Leader or passengers with the vouchers for all accommodation and other related services for the whole trip. Even at this stage if the client suddenly needs to make any last minute changes we will be happy to oblige where possible. All amendments instigated by the client will be coordinated through our office and any additional costs will be remitted.
We strongly recommend a comprehensive travel medical insurance.
At the end of the trip Andes Adventures will hand out an evaluation form, which enables us to immediately receive feedback on our services. This system allows us to maintain high quality services we provide to our clients.
PAYMENTS
Once all services have been confirmed from both sides, Eco Andes Travel-Andes Adventures requires a 50% pre-payment of the price of the tour at least 30 days before arrival of a group or FIT. After receipt of the final invoice, final payment must be arranged before the passengers arrival. All payments must be sent by money transfer to:

CANCELLATIONS
All groups or FITs will be charged, if cancellation occurs less than 30 days prior to the departure date: of
30/15 days prior = 30%
14/6 days prior = 50%
5/1 days prior = 75%
NO SHOW = 100 %
In the case of a group member canceling after the final rooming list is received, and if another participant replaces them, there will be no cancellation fee.

As part of our services, we can book, reconfirm and sell airline tickets for local flights as well as any ongoing international flights. Private guides can be arranged for any of our tours. All our Adventure Expeditions include an expert guide. We can tailor any program to your specific needs. Eco-AndesTravel can provide any number of tailor-made specialist itineraries for the most discerning of travelers.
RESPONSIBILITIES
ECOANDES TRAVEL-ANDES ADVENTURES reserves the right to modify or withdraw any travel arrangements when deemed necessary in the best interest of our clients. The right is reserved to refuse, accept or retain any person as a member of one of our trips. Baggage is carried at the owners risk throughout the tour. EcoAndes Travel-Andes Adventures acts only as an AGENT upon the legal conditions that, while exercising every possible precaution, it is not responsible for any injury, sickness, damage, loss, additional expenses, accidental delay or other irregularities which may be caused either by willful, or negligent acts or omissions made by the companies or individual providing or engaged in providing of transportation, accommodation, or other services related to the accomplishment of the tour; or through natural disasters, social upheavals, or other causes.

PERSONAL ATTENTION This is a very important fact for a tours success and we devote special attention to this. Our professional guides will welcome you upon arrival at the airport and will check the details of the tour with the client. EcoAndes Travel-Andes Adventures will monitor the tour throughout, checking on all the services being provided and satisfaction of the clients.
FLEXIBILITY Our tours are very flexible and permit variations during the development of the programs, focusing on the expectations and needs of the individual passengers or group.
SERVICE HOURS Normal office opening hours are from Monday through Friday from 9:00 a.m. to 1:30 p.m. and from 3 p.m. till 6:30 p.m. Please see our addresses below.
HOTELS The hotels used by EcoAndes Travel-Andes Adventures are the best in each category. These hotels offer personalized, charming attention to detail and all of them include breakfast services. Our good relationship with many of the hotels permits us to offer very competitive prices.
TRANSPORT EcoAndes Travel has an impressive fleet of comfortable vans and buses, with the largest accommodating up to 45 passengers. If required, we also offer transportation hire services not related with any specific tour.
INTERNATIONAL AND DOMESTIC FLIGHTS Our staff will be more than happy to supply international or domestic air tickets, or help to reconfirm flights and other inquires.
GUIDES AND OFFICE STAFF With an office in Quito-Ecuador and 2 offices in Peru (Lima and Cusco) we are able to offer a highly personalized and professional service. Our guides are dynamic multi-lingual professionals with a deep knowledge and enthusiasm of the countries and specific areas they are working in. All of them have passed approved rigorous training courses and have a legal guiding license.
GROUP PRICES AND SPECIAL OFFERS For Tour Operators and Wholesalers we offer special prices and discounts. Additionally from time to time we offer special incentives and awards for your regular customers. If you have a specific promotion Andes Adventures would be more than happy to look at a joint marketing campaign.

TOURING AND SIGHTSEEING As previously mentioned, all the tours and packages are guided by official tourist guides in the language requested by the operator, and are transported by cars, vans or buses according to each party size. Pick-up times and duration of each tour are notified on vouchers or pre-established by transfer agents on arrival in a particular destination.The tours run on a request basis for either groups or FITs. Once EcoAndes Travel-Andes Adventures has a full brief from the operator, we will then get back to you with a reservation status report specifying accommodation and confirming dates and prices.
ADVENTURE TRIPS
- TREKKING & CLIMBING TRIPS
All trips are run on standardized basis in the different areas. Donkeys, horses or mules are used to carry equipment and luggage. Transportation to trail heads on all treks is usually done in small buses, however depending on road or weather conditions sometimes trucks and/or 4WD vehicles are used. Each trek includes a bilingual guide/coordinator, kitchen staff, camp hands and herders. We provide one tent for every two passengers unless singles are requested, at an extra cost. In most cases sleeping mats will be provided but these vary according to itinerary. We recommend that you bring your own inflatable mat or thermos pads as well as your own personal sleeping bag. We also provide a kitchen/dining tent with stools for small groups and separate dinning tents and tables for larger groups.There is a plentiful amount of food with a varied menu, made by a very experienced highland cook. Treks that last up to 10 days are guaranteed to have no repeated dish, except breakfast. Lunch is served or packed in bags depending on the days itinerary. Dinner is usually a nutritious three-course meal that is balanced to supply salt and account for any water loss.
Camps are set up in specific locations, keeping altitude, shelter, itinerary, emergency situations and water sources in mind, as well as grazing for the animals.
Warm water is provided for washing in the morning and afternoon.
For each trip there is a recommended personal gear list, which is covered under a separate heading. Some personal equipment is available if baggage loss occurs.
- RIVER RAFTING
A comprehensive safety briefing will be given at the start of every trip and each crew will be trained in the paddling techniques needed to navigate our way down the river. We use top of the line specialized rafting equipment to ensure your safety and enjoyment. This includes: Self-bailing rafts;
High flotation life jackets;
Protective helmets;
Lightweight paddles
We carry First Aid kits, raft repair and river rescue kits on every trip and our guides are trained to use them! We always have at least two guides on every trip and utilize safety kayakers with major groups.
- JUNGLE SAFARIS
At our jungle lodge or camps enjoy a walk through the deep virgin forest and experience the diverse flora and fauna that only a Rainforest can offer. Visit the lakes and rivers, which act as a natural oasis for birds and river wildlife - an ideal photographic opportunity. After a full days walk there is time to relax and enjoy the comforts of the lodge and to chat about the experiences of the day over a hearty meal.For the more adventurous, camp on the beaches lining the great rivers of the Amazon or trek for several days into the heart of the rain forest. The naturalist trained guides will highlight the fauna/flora and describe the amazing eco-system of the rain forest.
